EDUCATION

Less admin, more time for learners.

We automate admissions, fees, records, LMS and exam operations for schools, universities and training providers. Staff get their evenings back during peak season.

PRESSURES IN THE SECTOR

Academic calendars create brutal peaks.

Education administration is seasonal. Admissions, fee collection, course enrolment, exams and results each arrive in compressed windows. The same small office handles them all, often by copying data between an application portal, a student information system, an LMS and accounting software.

Accreditation and regulatory bodies also expect detailed data on students, faculty and outcomes. Assembling that evidence is slow when records live in several systems and spreadsheets.

Disconnected systems.

Admissions, SIS, LMS, fee and finance tools rarely share data cleanly.

Minors' data.

Schools hold sensitive data on children and must treat it with extra care.

Evidence demands.

Accreditation submissions need consistent data across years and departments.

USE CASES

Where automation pays in education.

Admissions processing

Validate application forms and documents, check eligibility criteria, schedule interviews and move admitted students into the SIS.

01

Fee reconciliation

Match payment gateway, bank and cash receipts to student fee ledgers, chase defaulters and post entries to accounting.

02

Student records management

Keep enrolment, attendance and transfer records consistent across systems, and issue certificates and transcripts on request.

03

LMS administration

Create courses each term, enrol students and faculty in bulk, sync grades back to the SIS and archive old sections.

04

Scholarship processing

Collect applications and income documents, verify eligibility against scheme rules and prepare disbursement lists for approval.

05

Exam operations

Generate hall tickets, allocate rooms and invigilators, consolidate marks from evaluators and prepare result sheets for moderation.

06

Accreditation data

Gather faculty, student, research and outcome data across departments into the formats accreditation bodies require.

07

Parent and student communication

Send fee reminders, timetable changes and result notifications through email, SMS and messaging channels.

08

Faculty and staff administration

Onboard staff, update payroll inputs and track qualification and workload records.

09
DOMAIN AND COMPLIANCE

Considerations we design for.

  • DPDP Act 2023 obligations for children's data, including verifiable parental consent
  • GDPR and FERPA-style protections for international students where relevant
  • Student identifiers and health details masked in bot logs
  • Marks and results changes always subject to human moderation
  • Scholarship eligibility rules versioned per scheme and academic year
  • Fee waivers and refunds enforced through approval tiers
  • Accreditation figures traceable to source records
  • Peak-season capacity planned around the academic calendar
WHAT TYPICALLY CHANGES

Calmer peaks, cleaner records.

Days

Admissions turnaround

Offers go out days sooner during the admission window.

Daily

Fee reconciliation

Defaulters and mismatches are known every morning.

Hours

Term setup in LMS

Courses and enrolments are ready in hours instead of weeks.

Traceable

Accreditation data

Every reported figure links back to its record.

FAQ

Questions we hear first.

Can't see yours? Ask an automation architect

Can you automate our LMS if it is Moodle, Canvas or a commercial platform?

Yes. Most LMS platforms offer APIs or bulk import tools, which we use first. UI automation fills any gaps.

Do bots change marks or results?

Bots consolidate marks and flag anomalies. Moderation and final approval stay with the examination team.

How do you protect children's data?

We minimise the data bots handle, mask identifiers in logs and design consent flows to meet the DPDP Act 2023 requirements for children.

Is this practical for a single school or only for universities?

Both. Smaller institutions often start with fee reconciliation or admissions, which are quick to automate and pay back within a season.
